REMINDER
This training registration is for users that will Go Live in Wave 1 on July 25, 2026. This includes anyone employed by, or supporting UAB St. Vincent’s facilities, or related entities that will use direct access to the Epic EHR.
- Super Users supporting Wave 1 will need to be registered by their supervisor/manger no matter the entity.
- Providers need to register themselves.
- Providers with non-provider direct reports will need to attend a Manager Fair session and register those individuals.
- GuestHouse user education details will be sent separately.
- EpicCare Link user education is completed through the EpicCare Link site.
Username and Multifactor Authentication (MFA)
To access EpicU, you will need your UABMC username (username@uabmc.edu). Also called an AD login.

- You must use an onsite computer at a UAB St. Vincent’s or UAB location to claim your UABMC username.
- EpicU platforms have not been tested on a tablet or cell phone, so please use a desktop or laptop computer to complete registration.

Epic training is a foundational part of our implementation. This is not just classroom learning – it is essential preparation to ensure that every end user has the knowledge needed to deliver safe, high-quality care on day one of go-live.
Registration Frequently Asked Questions
What are e-Learning requirements? When do I have to complete them by?
E-Learnings are online modules that must be completed before classroom training to ensure learners are adequately prepared for their learning experience. End Users must complete all e-Learnings no later than May 22; providers must complete them by May 30.
Nurses must complete the Independent Nurse Block prior to attending class, and are also due May 22.
What is the Epic Playground?
The Epic Playground is a foundational training environment where End Users can experience what it will be like to use Epic, but it doesn’t contain any real user logins or patient data.
This is not reflective of the UAB Epic-Instance, but it is ~95% accurate. The Epic Playground will be used during class, and any time that users want to practice the system on their own, while DIL will be conducted on CRE.
What is a Proficiency Assessment?
Proficiency assessments are included with select independent learnings and all instructor-led classes, with dedicated time built into class sessions for completion.
Proficiency Assessment is an open-resource test in the EpicU environment that users are expected to complete independently, without assistance from peers. EpicU resources may be utilized during the assessment.
Users must achieve a score of 80% or higher to pass the assessment and may attempt it up to two times per day. If a user does not pass within two attempts, they should reach out to a Super User or Epic Training and review EpicU learning resources for remediation.
What can I expect from a classroom training?
Super Users and End Users will attend in-person training at their designated training location. Please refer to your Epic University homepage for details on location, date, and time. Classes will be delivered virtually by an Epic instructor and proctored by a UAB St. Vincent’s Super User or additional site support.
Users who arrive more than 15 minutes late will be required to reschedule.
After completing classroom training, users will have ongoing access to an online recording of the session, including post Go-Live.
Provider training sessions will typically be led in-person by a trainer and supported by a UAB St. Vincent’s Specialist Trainer in the classroom.

What are Pilot Super User Classes?
Super User classes begin May 11 and build upon an Epic-piloted training provided to a pilot group of nurses. This program is designed to prepare Super Users to effectively support their peers during End User classroom training and at Go-Live.
The 1.5-hour curriculum focuses on developing “Super” Super Users. Sessions are facilitated by Epic and supported by Principal Trainers Maureen McDonald and Mychal Boyd, along with Training Coordinator Jim Lepesko to further empower Super Users.
What is a Login Lab?
Users will complete a survey guiding them to log into the SUP/PRD environment to verify their username and password are functional ahead of Go-Live. Users will be prompted to test login at the end of each class.
Providers will log into the production environment.
If the Login Lab is unsuccessful, the security team will troubleshoot any user-specific errors and follow up with the user as needed.
What is the difference between classroom training and other readiness activities?
Classroom training is one component of the training journey for End Users, taking place from May 26 – July 24. It focuses on Epic Foundations (e.g., system navigation, key workflows, sequencing) and is delivered virtually by an Epic trainer. Each session concludes with a proficiency assessment and is designed to prepare users for approximately 30-40% readiness for Go-Live.
Readiness activities include Day-in-the-Life (DIL) and Readiness Journeys. DILs will be the bridge between foundational training and future state workflows within the UAB-Epic instance. DIL activities will be conducted in the CRE training environment. Readiness Journeys are documents in PPT format that are workflow or topic-specific and demonstrate changing/updated workflows in the UAB-Epic system.
What do I do if I am a travel / contract staff?
Travel / contract staff will have an Epic account created for them and will be assigned to a job category by User Provisioning. The manager will then register the travel / contract staff for in-person training. If there are barriers to in-person training, the travel / contract staff will receive just-in-time training, including live recordings of classes.
Travel staff may test out of Epic training if they have used Epic within 365 days of Go-Live in the same role. They must pass with 80% accuracy in a single attempt.
Super Users
What role will Super Users play in End User Training?
Proctoring class is a key role for Super Users to build knowledge and skills preparing to prepare for at the elbow support at Go-Live.
As a proctor, the Super User will help to facilitate classes, help users log in to the EpicU environment, answer questions through class, trouble shoot any technical challenges, and assist with navigation of different environments. Super Users can also be used as a resource for proficiency assessment remediation.
Readiness Journeys
What is a Readiness Journey? Where can I access them?
Readiness Journeys are documents in PPT format that are workflow or topic-specific and demonstrate changing / updated workflows in the UAB-Epic system. Workgroups collaborated to customize these Readiness Journeys to include department and site-specific nuances.

How do I use a Readiness Journey?
Please thoroughly review Readiness Journeys to understand what will change in your day-to-day workflows, share with peers, and raise any questions to your department manager or Site Leads.
When should I review Readiness Journeys?
Readiness Journeys can be reviewed anytime between completing classroom training and after Go-Live. We strongly recommend thoroughly reviewing Readiness Journeys applicable to your role before Go-Live.
Day-in-the-Life
What are Day-in-the-Life activities?
Day-in-the-Life (DIL) activities are “hands-on keyboard”, realistic walkthroughs guided by UAB Principal Trainers (PTs) that users will engage in between completing classroom training and Go-Live. They are designed to bridge the gap between the classroom training environment and UAB-Epic production environment. These DIL activities will mirror staff’s actual jobs as closely as possible and provide the opportunity for different roles to practice “handoffs” throughout the patient journey, resolve workflow issues, and clarify expectations prior to Go-Live.
DIL activities will be associated to the learner’s department and role, but may not include all types of activities.
What kind of Day-in-the-Life activities are there?
- Workflow dress rehearsals (clinical departments)
- Shadow charting (procedural staff)
- Clinic manager readiness (clinic managers)
- Nurse manager day (nurse managers)
- Patient flow readiness (bed planners)
- Charge capture workshops (charge guardians)
- Revenue cycle management day (access and revenue cycle leaders)
- Mock dashboard and charge tracker calls (ARCR leads and charge guardians)
- Mock month end (operational and finance leaders)

How will I know what Day-in-the-Life activities to sign up for?
Some DIL activities are assigned through EpicU and will be populated on the user’s EpicU account. Other activities will be coordinated by the Epic Training team in partnership with managers to align with department and role specific needs.
Training schedule
When is my training scheduled?
Superuser training: April 27–May 22, 2026
There are a few group exceptions that will begin training on May 26 (i.e. pharmacy superusers)
End user training: May 26-July 24
Provider training: June 1-July 24
Class registration and schedule changes
What if I need to change the class date for one of my staff members?
Managers can unenroll and re-register the user for the appropriate class.
All required prerequisite training must be completed prior to attending the class.
You may update and make changes at any time. There is no need to contact the Epic Training team to change class registration.
Is there a timeframe for when end users can be unenrolled and re-registered for a class?
To optimize class capacity, it is best to make class registration changes at least 24 hours in advance. However, we understand that unavoidable situations do occur.
What is the process if one of my staff members misses a class for which he/she is registered?
The trainee should email epictraining@uabmc.edu and copy his/her manager. The trainee should also follow the unit-specific call-in procedure.
Notification of missing a class should include the name of the user as listed in EpicU, along with the name/date/time of the missed class.
Managers can go into EpicU and reschedule the trainee.
If assistance is needed with rescheduling, the training coordinators can collaborate with the manager.
If the class has already started, the manager may need to wait until after the planned class is complete to re-register the staff member.
Managers will follow unit and organizational procedures for documenting missed classes.
What is the process if one of my staff members is late for class or must leave early?
The superuser/class proctor will report via email any incomplete class attendance to the trainee’s manager and to Epic Training.
Late arrivals: If a trainee shows up to class more than 15 minutes late, he/she will be asked to leave the class and will need to attend a different session. We have a tight schedule, so we will try to minimize disruptions for those currently in class.
Leaving early: If a trainee leaves class early, he/she may be asked to attend a different session. Due to the variable class length and content format, leaving early impacts each class differently and will be addressed on an individual basis.
Managers can go into EpicU and reschedule the trainee. If assistance is needed to reschedule, the training coordinators can collaborate with the manager.
If the class is still in progress, managers may need to wait until after the class is completed to re-register the staff member.
Managers will follow unit and organizational procedures for documenting missed classes.
Assessments and passing requirements
What happens if one of my staff members does not pass the required assessment?
Users must score ≥80% to pass the assessment.
If the user scores <80%:
– Communication is sent to the manager.
– The user has one additional attempt to pass the assessment during class time. Superusers may function as mentors.
– The user may attempt the proficiency assessment two times per day.
– Users are encouraged to remediate prior to reattempting the assessment using EpicU lesson resources.
Preparing for registration
What are the steps for success in preparing for registration?
- Confirm that you know your uabmc login.
- Verify that you have completed multifactor authentication (MFA).
- Review your staff list:
- Manager validation review: Hyperspace – Proof of Concept Environment (POC)
- Prepare your calendar with approved requests off and departmental needs.
- Bring your list of direct reports to registration kickoff.
- Confirm accurate name spelling
- Legal first + last names
- If possible, also provide your middle name or initial and any alternate or maiden names
- @uabmc.edu is part of the username.
Track assignment issues
What do I do if I’m not assigned the right track/practice area in Epic?
Do not register for a class that does not match your practice area. Instead, please reach out to Epic Manager Validation and provide your legal first and last name – along with your specialty and department. Also, please indicate whether you will need to access Epic in an inpatient or outpatient setting, if you are assigned no training, your entity location (i.e., UAB St. Vincent’s East or clinic name), and your callback number.
I don’t see any classes in my hospital location – what do I do?
If you don’t see any available classes, please email epictraining@uabmc.edu. We’ll do our best to accommodate your request, but due to limited class capacity, we may not be able to meet all scheduling needs.
I don’t see enough seats for classes. What do I do?
If you don’t see any seats available, please email epictraining@uabmc.edu. We can review the available offerings to help find a class that meets your needs.
Training content, format, and expectations
What kind of training and resources will be provided for me?
- Epic instructor-led classroom foundational training
- Workflow training (i.e., day-in-the-life scenarios)
- Self-paced virtual e-learning (Users can practice on their own until they feel comfortable.)
- Providers also will attend:
- User settings labs during the training window
- THRIVE post-live
When should I complete my pre-course e-learning modules?
E-learning modules may be completed throughout April, but the assessment test will not be available until April 27.
Superusers must complete all required prerequisite e-learnings prior to attending class.
All end users must complete all required prerequisite e-learnings prior to May 22.
Computer labs will be available at each training location prior to May 22 for completing e-learnings. Location-specific computer rooms and times will be shared closer to the training window
What is THRIVE?
This is an efficiency class focused on updating user settings, learning how to perform workflows in fewer steps, and helpful tips and tricks. Classes are discipline-specific and open to all members of the Epic community. The track may include one or two classes. Classes are 1-2 hours and focus on:
- How to keep a cleaner workspace, to reduce cognitive overload
- Personalized note templates
- Tools to optimize ordering workflow
- In-basket quick actions
Will I get hands-on practice or just classroom learning?
Classroom learning will provide basic foundational training, while day-in-the-life activities will provide opportunities to walk through realistic situations that users face every day (i.e. handoffs).
You will have the opportunity to practice in the foundational playground in EpicU.
How much training will I need, and when will it happen?
Training for wave 1 end users will be May 26-July 24, 2026. Your managers have signed you up for classroom training times in accordance with your departmental needs and clinical availability/coverage.
Your training is determined by your job category and associated training tracks.
What happens if I miss a training session?
No training, no access, no kidding. Staff will not be given access to Epic at go-live unless they have completed the mandatory training.
If a training session is missed due to an illness or emergency, please email your manager, copy epictraining@uabmc.edu, and include your name, Epic username, and the name of the class you missed. You must work with your manager to reschedule the missed class.
Managers will follow the unit and organizational procedure for documenting a missed class.
Will training fit into my schedule given patient needs and shift demands?
Yes, managers have signed their people up for training time slots based on the department’s staffing needs and the clinical coverage required.
Support at go-live
Will I receive hands-on, in-person support at the time of go-live?
Yes, superusers (peer resources from your department) will be available during your shifts for the first few weeks after go-live. They will have a reduced clinical workload, so they can focus on providing at-the-elbow support throughout their entire shift.
At-the-elbow support includes superusers shadowing you during actual patient care, to troubleshoot and provide guidance in real time.
Special group: principal investigators
I am a principal investigator for UAB clinical trials. What is the process for me getting trained on Epic?
The principal investigator(PI) training track should be assigned to you in EpicU. If it is not listed as part of your training, please email epicmanagervalidation@uabmc.edu to request that it be added.
