In part two of a four-part series from The Epic Guys, Drs. Stu Booth and Stephen Stair discuss the upcoming training program for providers. They outline the new hybrid training model, which combines short, specialty-specific online videos with a shorter in-person class. After completing the class and passing a competency test, providers gain full access to Epic.

Those already familiar with Epic can “test out” by passing the competency exam, but they still must complete the User Settings Class. Stay tuned for the next episode, which will cover user settings and efficiency tips.

Stair: Well, welcome to the second episode of our Epic Guys training series. It’s uh, a little chilly here in Switzerland, on the next leg of our epic journey. We’re going hiking later. And I see you forgot your lederhosen.

Stu: Oh yes. No, no, no, no. That’s not going to happen.

Stair: Oh, come on. You look great.

Stu: Uh, no. It would probably distract everybody from the real topic we have today, which is the Epic training class overview for our providers. We’re going to take a deep dive into what you can expect when you sign up for training. And as a reminder, here are the training dates for UAB and UAB St. Vincent’s facilities. And in case you haven’t heard, training is required for everyone who wants to access Epic and care for patients. So, it’s super important.

Stair: We’re following the new hybrid training track with Epic, which combines specialty-specific online videos with a shorter in-person class, which is what we all want, of course. So, before you come to class, there will be some short focus videos assigned for you to watch based on your specialty role. So you can be familiar with the Epic interface and some basic functions depending on your role. These will take 45-90 minutes total, and they’re divided into really good 3-5 minute bursts for each topic.

Stu: And don’t just click through them. Be sure you pay attention, because you’ll have to take a quick test at the end to make sure you have all the information down. The training videos are really well done. You can see some of the overall topics covered in the videos hitting important elements of our workflow. And again, most of these will be geared specifically to your role. So, if you’re only in the clinic, you won’t see the inpatient stuff and vice versa.

Stair: This way when you come to class, you’ll have a good understanding of the basics, so we can focus on specific scenarios for your specialty and how to manage the patient. This will reduce the time you need for class. Here’s a sample of the in-person topics we’ll cover with your specialty trainer.

Stu: As Stephen said, with the hybrid model, the classes are shorter, typically about two hours, maybe three if you do both the inpatient and outpatient. Then the user settings portion – which we’ll talk about in the next episode – will be another one or two hours.

Stair: That’s it for the actual class time, just about a half a day. So you can get back to taking care of patients, which is really important. Once you finish, you’ll take a competency test, and when you pass, you’ll have full access to Epic and be ready for go-live.

We’ll give you plenty of time to practice simulation labs day-in-the-life activities, plus some tips and tricks we can show you to make you more efficient.

Stu: Nice. But one big question. So, we have providers who have just recently come from a facility that used Epic. What do we do with them? Because they may not want to go through full training again.

Stair: Yeah. You know, we have some providers who are using Epic now, right? At another facility. Well, we will have a test-out policy. Great news! If you can pass the competency test, you won’t have to go through regular training videos and the in-person class, but you will still need to do the User Settings Class.

That’s really important for our instance of Epic. So that’s good news for those providers.

Stu: Yeah, that sounds like a pretty good plan. And speaking of user settings and labs, we’re going to talk a lot more about that in our next video. But until then, Stephen, let’s go hiking and maybe do some yodeling.
